Agree on the decision the pilot must support
ESPR provides a framework whose detailed product requirements are developed through further measures. A preparation project therefore needs a dated scope and a way to revisit assumptions when the applicable rules change. Do not convert an expected legislative milestone into a binding project claim.
Write the pilot question in practical terms: can we support this product's intended information with identifiable evidence and maintain the result? Choose a product owner, a reviewer and a publication owner. Record which product versions and markets are included, plus the unresolved decisions that sit outside the pilot.

Create a baseline people can reproduce
Gather the specification, current declarations and relevant reports for the chosen product. Make an evidence map with a source, owner and state for each information need. Mark estimates, outdated documents and conflicting statements instead of silently choosing the most convenient answer.
In Passvanta, a product retains its assigned pack version; later changes are assessed through an explicit migration. Record the pack's maturity alongside the results. A preparation pack is incomplete working material. Accept this stage when another reviewer can reconstruct a sample value and understand what the current assessment does not cover.

Prove the supplier and review cycle
Send a small set of focused requests that represent different problems: an absent value, an ambiguous unit and a document whose product scope needs clarification. The exercise is complete when the team can explain acceptance or rejection, not merely when every invitation has a response.
Passvanta guest links collect selected field values. Documents require the signed-in, linked supplier portal with uploads enabled by the customer. Review extracted proposals and submitted values before adoption. Keep the original source and the reason for resolving a conflict available to the people maintaining the product.

Check the published view and the change path
Define what the intended audience should receive and which information must remain restricted. Use a product that has both kinds of information. Passvanta excludes restricted fields from its public response; inspect that response and the structured output during acceptance rather than relying on the internal screen.
Demonstrate an authorised publication, a later revision and a suspension. Check that the team recognises the published revision and can explain what changed. Retain an export containing provenance and the evidence manifest. Ask someone outside the implementation team to interpret it without access to the original project discussion.
Include the physical product in acceptance
Passvanta creates carrier files from published passports and records print settings. Select a format suited to your production process, then test a real sample. Check the encoded destination, placement, surface and handling conditions. Record who performed the physical check and which printed sample they examined.
Software decoding and physical verification are separate. An item serial currently resolves to its parent passport's data; it does not create independently versioned data for that item. If individual history is essential to your use case, make that a specific unresolved requirement rather than accepting a serial number as sufficient evidence.
Hand over the process before expanding volume
Assign owners for source changes, failed imports, lost access and publication corrections. Passvanta provides an API and CSV workflow, but ready-made PIM or ERP connectors are not included. If integrating, budget mapping, error handling and operation of the receiving system. Test the failures you expect the support team to diagnose.
Official registry acceptance remains a separate dependency for Passvanta. Keep it visible in the handover alongside any untested production assumptions. Expand only after the team can repeat the approved steps with a second product and knows when a change requires review rather than automatic reuse.
